I have entered a transaction and I don't see it when I use this screen. |
|
Probably, you have processed this transaction at a date after the date you are requiring the bank reconciliation. For the system, this transaction will exist only when its date will be reached.
Example:
When receiving your statement from the bank, you have processed the bank fees on July 15th, while it is recorded for June on the bank statement.
Of course, this transaction will not appear in the banking reconciliation screen if you require it as of June 30th.
You have two choices :
| • | Process your banking reconciliation as of July 15th. |
| • | Modify the date of the transaction. |
You can modify the erroneous date easily :
| • | Click on the transaction number (blue text underlined). The transaction will be displayed via the General Ledger. |
| • | Click on the button "Modify Transaction". A new window will be displayed allowing the modification of the date. |
| • | Modify the date and click on ''Save'' to confirm. |
The date has been modified and an accounting note has been added to it allowing easier searches in the future, if so required.
You return automatically to the bank reconciliation and transaction is now dated June 30th as you can see.
If your password authorizes you to post or modify transactions in the previous periods, you can do it. However, be aware of anachronism when changing the date of a transaction to not produce illogical situation or changing retroactively reports or statements already given to somebody.
Example:
In the situation described above, if you had already given the financial statement at the end of the month, changing the date of a transaction which was not there when producing the statements would provoke a situation where somebody has a statement indicating no banking fees as of June 30th and a subsequent printout of the same statement at the same date would show some banking fees as of June 30th.
We presume that if you had already distributed financial statements, that you will not backdate any transaction before their printout.
